Privacy notice

Last updated: [DATE — CONFIRM BEFORE PUBLISH]

This notice describes how Syntium, a business line powered by Xeomics (“Syntium”, “we”, “us”), handles personal information collected through the Syntium pages of this website (xeomics.com/syntium). The data controller for information collected through these pages is Xeomics [LEGAL ENTITY NAME — CONFIRM BEFORE PUBLISH], [REGISTERED ADDRESS — CONFIRM BEFORE PUBLISH]. Contact details are in section 10.

This notice covers website visitors only. It does not cover the de-identified health data made available through the Syntium network, which is governed by separate agreements with data partners and customers and by the laws of each partner’s jurisdiction.

1. Information we collect

When you submit a briefing request, Scoping Engine demo or access request, or partner inquiry, we collect the information you provide, such as your name, work email address, phone number (optional), organization, role, organization type, country, and the details of your request (for example, therapeutic area, study type, data types held or approximate record counts). We may also collect limited technical information (such as browser type and pages visited) through analytics cookies, but only if you consent to their use.

2. How we use your information

  • To respond to your briefing request, demo or access request, or partner inquiry.
  • To send you resources you ask for, such as the data census template or metadata questionnaire.
  • To communicate with you about Syntium services you have expressed interest in.

We do not sell your personal information. These web pages do not collect, process or display identifiable patient data.

3. Legal basis

Where applicable law (such as the GDPR or UK GDPR) requires a legal basis, we rely on:

  • Responding to your request: our legitimate interest in responding to business inquiries you initiate (Art. 6(1)(f)).
  • Marketing communications: your consent (Art. 6(1)(a)), which you may withdraw at any time.
  • Analytics: your consent (Art. 6(1)(a)), given via the cookie banner and changeable at any time through the “Cookie preferences” link in the footer.

4. Sharing

Your inquiry may be shared within Xeomics group companies and with service providers who support our website, forms and customer-relationship systems (including our form-handling provider, Formspree), under appropriate confidentiality and data-processing terms. We do not share your information with third parties for their own marketing purposes. Partner inquiries are never shared with customers, and customer inquiries are never shared with data partners in identifiable form.

5. Retention

We keep inquiry information for 24 months from our last contact with you, unless an ongoing business relationship requires longer retention or the law requires a longer period. After that it is deleted or anonymized.

6. Cookies and analytics

Analytics cookies are set only after you accept them via the consent banner, and are provided by Google Analytics 4 with IP anonymization. Until you accept, no analytics script loads and no analytics cookie is set. You can decline, or withdraw consent later through the “Cookie preferences” link in the footer, without affecting your use of the site. Essential functionality does not depend on cookies. We do not set advertising cookies. The same consent choice applies across the Xeomics website, described in the Xeomics privacy notice.

7. Your rights

Depending on where you are, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Ask us to delete your information.
  • Restrict or object to our processing, including processing based on legitimate interest.
  • Receive your information in a portable, machine-readable format.
  • Withdraw consent at any time, without affecting processing carried out before withdrawal.
  • Complain to a data-protection supervisory authority: in the EU, the authority of your member state; in the UK, the Information Commissioner’s Office (ICO).

We do not use your information for automated decision-making that produces legal or similarly significant effects.

8. International transfers

If your information is transferred outside your jurisdiction (for example, outside the EEA or UK), we rely on one or more of these safeguards: an adequacy decision; the European Commission’s Standard Contractual Clauses; or, for UK transfers, the UK International Data Transfer Agreement or UK Addendum to the SCCs.

9. California residents

If you are a California resident, the CCPA/CPRA gives you rights to know, access, correct and delete personal information we hold about you, and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined under the CCPA/CPRA, and we will not discriminate against you for exercising your rights.
